User roles and permissions: managing access to each site

Getsitecontrol lets you choose which websites each teammate can work on and what they can do there. A designer can build popups, an email marketer can prepare campaigns, and a manager can handle sending. Someone working on one client’s website can have different access to another client’s site.

There are two roles you can assign to teammates: User and Admin. For a User, you can set separate access levels for Widgets, Emails, and Contacts on each assigned site. The Admin role and custom access levels are available on Pro and Pro Max.

Choose a role

User

A User works with widgets, emails, and contacts on the sites assigned to them. They do not manage account billing, the account’s site list, or other users.

Choose this role for teammates who work on campaigns or customer data. You can give someone full access to campaigns on one site without giving them control of the whole account.

Admin

An Admin has account-wide access, including billing, site management, and user management. Only the owner can delete the account.

Choose this role for someone who helps you run the account, such as a business partner or an agency operations manager. Admins have access to all sites, so the individual site-permission controls are locked for this role. Use the User role when you want to limit someone to particular sites or sections.

Owner

The account owner retains full account access, including account deletion. Owner is not one of the roles available when assigning a teammate’s role.

Understand the access levels

For each site assigned to a User, set a level for Widgets, Emails, and Contacts. The levels build on each other: Full includes Edit and View, and Edit includes View.

LevelWhat it allows
NoneNo access to the section.
ViewView the section’s content and reports.
EditCreate and change content or data in the section.
FullEdit access plus the section’s sending, activation, or export actions.

Widgets

LevelWidget access
ViewView widgets, form responses, and reports.
EditCreate and edit widgets, including their content and settings.
FullAlso switch widgets on or off and export responses.

For example, give a designer Edit access to prepare a sale popup. A teammate with Full access can switch it on when the sale starts.

Edit is an editing permission, rather than a formal approval workflow: it does not mean every change must be approved by another person. When preparing a new campaign, work on an inactive widget until it is ready to launch.

Emails

LevelEmail access
ViewView broadcasts, automations, and their reports.
EditCreate and edit broadcasts and automations.
FullAlso send or pause broadcasts and switch automations on or off.

A copywriter can prepare a newsletter with Edit access. The person responsible for delivery needs Full access to send it. The same distinction applies to automated sequences: editing the sequence and switching it on are separate permissions.

Contacts

LevelContact access
ViewView contacts, segments, and reports.
EditEdit and import contacts and manage segments.
FullAlso export contacts.

Give a colleague Edit access if they need to import a customer list and organize segments. Choose Full when their work also involves downloading contact data. Choose None if they do not need to see the contact database.

Set permissions for a teammate

As the owner or an Admin, open Users and click Settings for the teammate.

  1. Choose User or Admin.
  2. For a User, click + Add access to site and select a website.
  3. Set the Widgets, Emails, and Contacts levels for that site.
  4. Add any other sites they need and choose the levels for each.
  5. Click Save.

Newly assigned sites start with Full access in all three sections. Adjust the levels before saving if the teammate needs a narrower role.

Set all permissions applies View, Edit, or Full across the sites already assigned to this User. It is useful when someone needs the same access everywhere. You can then change individual sections or sites.

For example, set all permissions to View for a reporting colleague, then change Contacts to None on a site where they only need campaign reports.

Examples for your team

Choose a starting setup for each teammate. You can use different settings for the same person on another site.

For an agency, a contractor might have Edit access to Widgets on Client A’s site and View access on Client B’s site. Leave Client C unassigned if they do not work on that account. Their access follows each site’s settings.

Give Admin to the person who needs to manage the account itself. A campaign manager can work with Full access on assigned sites while retaining the User role.

Permissions for tasks across sections

Some jobs need access to more than one section. These examples show the minimum levels to assign on the same site. None means the task does not need access to that section.

For example, a designer can build the signup popup and prepare the welcome email with Edit access to Widgets and Emails. The person launching the campaign needs Full access to both. Neither task requires access to the contact database.

Change or remove access

Return to the teammate’s Settings to update their role, change a section’s level, or remove an assigned site. Save the changes when you have finished.

When a contractor’s project ends, remove that site from their assignments. When a teammate moves from writing to managing campaigns, change Emails from Edit to Full on the relevant site.

Changing User to Admin gives account-wide access, including billing and user management. Changing Admin to User removes those account-management permissions; assign the sites and section levels they should keep before saving.

If a teammate cannot perform a task, check the site they are working on and the level assigned to the relevant section. Someone may be able to edit emails on one website and only view them on another.
